Overview of the PAAM Onsite App

We designed the PAAM Onsite App to help with managing teams of staff and volunteers onsite. The main PAAM system is targeted at staff and volunteer recruitment and management before and after an event. When working at the actual event many have still be relying on spreadsheets to check people in, allocate shifts, keep a record of resources allocated, track shifts, hours, and performance. The PAAM Onsite App is a standalone software application that completely removes the requirement for spreadsheets when managing staff and volunteers at an event.

Cloud or Local

Depending how you need to use the PAAM Onsite App we offer two different platforms: Cloud and Local. If you need to manage multiple events at the same time and know that you always have a good internet connection, we offer a Cloud based PAAM Onsite App. If you just need to manage one event at a time and know that your internet connection is often temperamental when at an event, we offer a NAS based PAAM Onsite App.

When you import your event data from your main PAAM system any groups and shifts you have setup and allocated are also imported. We know things can change when onsite at an event so if required you can easily move people between groups and shifts.

Overview of the PAAM Onsite App

We designed the PAAM Onsite App to help with managing teams of staff and volunteers onsite.

The main PAAM system, first released in 2006 and now used by companies and events across Europe, is targeted at staff and volunteer recruitment and management before and after an event.

When working at the actual event many have still be relying on spreadsheets to check people in, allocate shifts, keep a record of resources allocated, track shifts, hours, and performance.

The PAAM Onsite App is a standalone software application that completely removes the requirement for spreadsheets when managing staff and volunteers at an event.

We offer the PAAM Onsite App on two different platforms. For managing one event at a time and for when internet connections are temperamental we offer a local NAS based PAAM Onsite App with system and power redundancy. For managing multiple events at the same time where good internet connectivity is available we offer a Cloud based PAAM Onsite App.

No matter how you decide to use the PAAM Onsite App, its wireless connectivity enables as many of your team as required to connect simultaneously via notebooks, tablets and smartphones.

Cloud or Local

Depending how you need to use the PAAM Onsite App we offer two different platforms.

Cloud

If you need to manage multiple events at the same time and know that you always have a good internet connection, we offer a Cloud based PAAM Onsite App.

The PAAM Onsite Cloud allows you to import and manage as many events as you wish at the same time, setup as many administrators as required, and being cloud based has the same robust security and redundancy as the main PAAM system.

There is a single setup fee for the PAAM Onsite Cloud, then an additional fee for each administrator you would like to be able to access the system. Please see our pricing page for further details.

Local

If you just need to manage one event at a time and know that your internet connection is often temperamental when at an event, we offer a local based PAAM Onsite App.

The PAAM Onsite App allows you to import one event at a time, setup as many administrators as required, and offers both system redundancy for reliability.

There is a single setup fee and monthly cost for the PAAM Onsite Local. Please see our pricing page for further details.

Event Data Import from PAAM

Once you've used your main PAAM system for your pre-event recruitment and planning, you can connect your PAAM Onsite App using your PAAM API key to import event data.

The event data import populates your PAAM Onsite App with your event groups, shifts, confirmed staff and volunteers including their personal details, ID photos, and any documents they have uploaded to your main PAAM system.

You can either import data before leaving for the event or whilst setting up onsite.

Barcode Scanning for check-in

When you're ready to start checking-in at the event the PAAM Onsite App makes this easy!

You can offer your confirmed staff and volunteers the option to print or download a PDF sign-in sheet before leaving for the event.

Along with some basic personal details the sign-in sheet includes the staff member's or volunteer's PAAM barcode and PAAM ID number.

On scanning the barcode the sign-in page for the staff member or volunteer is brought up on the PAAM Onsite App allowing for check-in.

Please note if you are not using an inbuilt camera on your notebook, tablet or smartphone, then to use barcode scanning you will need an external barcode scanner for each device on which you are using the PAAM Onsite App.

Database Search

If the member of staff or volunteer hasn’t been able to bring along their sign-in sheet you can search your PAAM Onsite App database for their PAAM ID, name or email address.

The search results offer basic personal details and a thumbnail photo if their main PAAM profile includes one, making it easy to quickly identify the correct profile and continue the check-in process.

Checking-in, Checking Documents, and Allocating Resources

The PAAM Onsite App's check-in page first presents the staff member's or volunteer's profile ID photo, their name, email address, PAAM ID number and date of birth. Allowing you to be sure you're checking in the right person!

Further down the page you can then:

  • Mark the staff member or volunteer as checked-in.
  • Mark if any documents such as Health and Safety guidelines that need to be read have been.
  • Mark that resources such as handbooks and uniforms have been allocated.
  • Record any additional details such as wristband or ID card numbers.
  • Check if any documents such as a passport scan has been uploaded to the main PAAM system before the event and if required also brought to the event.
  • Confirm shift patterns and hours.

At any time the number of staff and volunteers checked in can be quickly referenced.

Allocating and Changing Groups, Shifts, Hours, Positions and Resources

When you import your event data from your main PAAM system any groups and shifts you have setup and allocated are also imported. We know things can change when onsite at an event so if required you can easily move people between groups and shifts.

The shifts page allows you to easily find and check the staff and volunteers assigned to each shift, and move to a different shift if required.

At the start of each shift you can mark each staff member or volunteer as checked in, then check them out again at the end of their shift.

You can also reallocate resources such as uniforms, radios and safety equipment via the visually intuitive drag and drop system.

Recording Shifts, Hours Worked, Hours Missed, and Notes

For each staff member and volunteer you can record the number of shifts worked and the hours worked on each shift. You can also record any additional shifts and hours worked.

You can also record notes against each staff member and volunteer profile in your PAAM Onsite App. For example a reason for a shift or hours being missed such as a medical incident.

As with the main PAAM system, the PAAM Onsite App allows you to create exports for other onsite teams and agencies, such as staff and volunteer lists for onsite licencing and audit offices.

At any time you can export all staff shifts and hours worked for processing weekly, fortnightly, or monthly payroll.
